Terms & Conditions of Business

The following Terms & Conditions apply immediately upon meeting an Au Pair through this Agency, or on reading the details of an Au Pair whose application has been sent in the post or e-mail by COOLAGENT, whether the family application form has been signed by the family, or not. The Agency reserves the right to refuse a family or to remove the Au Pair when the following Terms & Conditions have not been adhered to. This includes failure to pay the Programme fee. Please note that it is the responsibility of the family to get confirmation of current fees and Terms & Conditions at the time of booking the Au Pair which could vary from the original information sent to you, as the current Terms & Conditions, and current fees will always apply without exception.

• Terms of payment
Programme fees become payable immediately upon acceptance of one of the Au Pair from our list before her/his arrival to family. The fees are charged for the introduction of the Au Pair.

• Should any Au Pairs stay be extended, The Agency must be informed immediately. The family will be liable to pay the difference in fees between one category and the next.

• Should an Au Pair return to the family at any time after the initial introduction to the family, and then the family must inform COOLAGENT and will be liable to pay the Agency fee for the return period.

• The family must send a Family Application Form, singed Terms & Conditions and Letter of Invitation for the chosen Au Pair to the Agency. The Application and the Letter must describe the household circumstances, family members, Au Pair's duties, room, pocket money, working hours and other important details. The Client accepts full responsibility for giving untrue or incomplete information in the Application and/or in the letter or any other document sent to the Agency or the Au Pair.

• FEES

COUPLE Au Pairs
• 3 - 6 months ....................... £375
• 6 - 8 months ....................... £400
• 9 - 12 months ..................... £425
• up to 2 years ...................... £500

• Payment to the Au Pairs
Regular Au Pairs (25 hours per week) minimum of £60, Au Pair Plus a minimum of £80 and Mother’s Help minimum of £100. This must be paid weekly and in full directly to the Au Pair.

• Holiday & Travel
One week’s paid holiday shall be offered to the Au Pair after completion of a six month period with the family. If a family goes on holiday without the Au Pair, then the family is responsible for providing accommodation and food for the Au Pair, and the Au Pair is still entitled to her pocket money.

• Liability
The Client takes full responsibility for any decision to employ the Au Pair. The Agency does not and shall not offer any warranty as to the suitability, honesty, character, medical fitness or capability of any Au Pair. Nor shall be held liable for any loss, damage, cost, injury or inconvenience caused by any Au Pair or arising from the introduction of any Au Pair by the Agency or any of its employees. Although the Agency takes every care to check the Au Pairs’ details, the Client is strongly advised to satisfy himself/herself as to the suitability of the applicant. COOLAGENT does not check the criminal background of the Au Pairs. If the Au Pair provides criminal background check, the copy will be sent to the family by email.

• Termination
Two weeks notice must be given to the Au Pair should The Client wish to terminate the agreement between themselves and the Au Pair. If the family wishes the Au Pair to leave the family home on short notice, then the family is liable to pay for hostel/hotel accommodation for the Au pair for a minimum of 7 nights.

• Replacement Guarantee
If at any stage during the first 4 weeks, your Au Pair proves to be unsuitable, COOLAGENT will undertake to provide alternative Au Pair at no futher charge. After this period, the Agency does not arrange fee replacement. Should COOLAGENT not be able to find a suitable replacement for the family’s requested start date, and the family find alternative help, then should there be any difference in fees, this will be credited to the family to be used at any time within the following 12 months. Maximum guaranteed replacement for any fee is 1 Au Pair placement.

• Cancellations
In the event of the Au Pair failing to arrive, COOLAGENT will refund the fee less £25 to cover administration costs. In the event of the Family cancelling for any reason, the invitation of an Au Pair once it has been agreed (whether in writing or verbally), then the Family will be liable to pay The Agency a fee of £25 to cover administration. This also applies even if the family consider the Au Pair unsuitable for any reason. Otherwise the programme fees are non-refundable in any case once paid.

• Early Departures from the family
Should your Au Pair leave your family earlier than planned, should there be a difference in the fees between one category and the next, then the balance will be credited to your next Au Pair. This is providing COOLAGENT accepts the reason for the Au Pairs early departure. No refund is available at any stage.
